Preparing an acacia timber quotation request

State whether you need sawn timber, rough kiln-dried timber or planed stock. List additional trimming, two-side or four-side surfacing separately. Rough-stock and finished dimensions are different; identify the sizes used for acceptance.

Specify the product and delivery condition

State whether you need sawn timber, rough kiln-dried timber or planed stock. List additional trimming, two-side or four-side surfacing separately. Rough-stock and finished dimensions are different; identify the sizes used for acceptance.

Prepare a cutting list and quantities

For each line, list thickness, width and length in mm, quantity and units. If ordering by cubic metre, agree the measurement basis and delivery conversion. Multiple dimensions can be included, but quantities should be separated for production and bundling review.

Describe quality with explicit criteria

AA, AB or BC descriptions should be accompanied by face-specific requirements for knots, cracks, sapwood, wane and warping. For dried stock, give a target moisture and acceptance range. Sample photographs help discuss appearance but do not replace dimensions, tolerances or inspection methods.

Provide the destination and delivery requirements

Provide the delivery destination, required date, bundling and labelling needs. For export-related orders, include the destination country and document requirements early. Minimum quantities and schedules are reviewed against specifications, quantities and production plans; submitting an inquiry does not mean an order has been accepted.

Check the quotation scope before confirmation

Clarify pricing units, machining, packaging, freight, payment terms and quotation validity. Acceptance specifications, approved samples and the final schedule are recorded in the quotation or B2B contract. A complete inquiry reduces follow-up questions and helps compare quotations with the same scope.
